WHAT YOU WILL BE DOING:

Key Responsibilities

Office Operations & Facilities Management 

  • Ensure the office is clean, well-organized, and operating smoothly
  • Manage and optimize office facilities, including: Workstations, meeting rooms, office layout, Pantry, beverages, and office supplies
  • Oversee office equipment: Printers, attendance machines, and other administrative tools
  • Monitor and handle administrative issues: Electricity, water, internet, and facility-related problems

Asset & Tools Management

  • Manage and maintain the list of: Fixed assets and company tools/equipment
  • Handle asset handover and retrieval for employees
  • Track asset condition, including maintenance and repair
  • Coordinate with HR & IT for onboarding and offboarding processes

Procurement & Vendor Management

  • Execute procurement activities: Office supplies and small equipment
  • Manage administrative service vendors: Security, cleaning, pantry, office leasing, etc.
  • Track contracts, quotations, and renewal status

Administrative Cost Control 

  • Track and consolidate monthly administrative expenses
  • Review and reconcile: Invoices, contracts, and supporting documents
  • Coordinate with Finance: Ensure timely and compliant payment processes
  • Support administrative cost control

Operation Support & Internal Support

  • Support the organization of internal activities: Trainings, company events, and engagement programs
  • Handle logistics: Meeting room setup, materials, equipment, and supplies

WHAT WE ARE LOOKING FOR:

Education & Experience

  • Bachelor’s degree in Human Resources, Business Administration, or related fields.
  • Minimum 4+ years of experience in Admin / Office Operations
  • Proven experience in: Office operations management, Vendor management and procurement, Administrative cost control
  • Experience working in a fast-paced, dynamic, or multinational environment is a plus
  • Experience in internal communications or event organization is a plus

Skills & Competencies

  • Strong administrative and organizational skills.
  • Good reading and writing skills in English.
  • Careful, detail-oriented, and well-organized.
  • Strong sense of confidentiality and professionalism.
  • Good knowledge of Vietnamese labor law is an advantage.

WORK LOCATION: Onsite at The District Building, 159C De Tham, Cau Ong Lanh Ward, HCMC

WORKING HOURS: 9AM - 6PM (Mon - Fri)
