WHAT YOU WILL BE DOING:
Project Management (Primary – ~80%)
- Own the operational delivery of all client work inside ClickUp, ensuring every project moves with clarity, structure, and momentum.
- Translate client meetings into structured execution by capturing notes, extracting actions, and building clear, sequenced task plans within 24 hours.
- Coordinate subcontractors (design, dev, copy, automation) to ensure work is delivered on time, on brief, and to standard.
- Drive project momentum by maintaining clean task management: statuses updated, priorities clear, blockers identified early, and nothing left sitting idle.
- Prepare internal progress summaries for the Client Success Manager, ensuring clear visibility on status, risks, and next steps.
- Identify friction points in delivery, solve them directly where possible, or escalate with clear recommendations.
- Quality assure all deliverables before handover, ensuring they are accurate, complete, and professionally presented.
- Embed AI and automation into workflows (e.g. transcript → task creation, summaries, follow-ups) to reduce manual work and increase output.
Executive Assistant (Secondary – ~20%)
- Protect Owen’s time, focus, and energy by managing inbox, calendar, and daily priorities with precision.
- Maintain inbox zero through triage, prioritisation, and actioning or delegating communications.
- Manage and optimise Owen’s calendar to align with strategic priorities, ensuring time is spent on high-impact work.
- Pre-plan Owen’s daily and weekly focus, setting clear priorities and ensuring alignment with current business objectives.
- Prepare agendas, briefs, and follow-ups so every meeting is purposeful and outcomes are captured.
- Translate Owen’s strategic direction into clear tasks and next steps, ensuring execution continues between meetings.
- Proofread and refine key documents to ensure clarity, quality, and consistency of output.
- Build and maintain internal systems (SOPs, templates, filing structures) that improve speed, consistency, and scalability.
What you need:
- 2–4+ years experience in Operations, Project Management, Business Analyst, or similar (agency/consulting/service-based preferred)
- Strong ability to manage multiple tasks and stakeholders, ensuring deadlines are met and nothing falls through the cracks
- Experience with tools like ClickUp, Asana, Notion, or similar
- Ability to turn meetings and ideas into clear, structured tasks and workflows
- High level of ownership and proactivity — you don’t wait to be told what to do
- Strong attention to detail and commitment to high-quality output
- Clear and professional communication skills (good written English required)
Prefer to have:
- Experience using AI tools (e.g. ChatGPT) in your workflow
- Familiar with automation tools (Zapier, Make, etc.)
You’ll do well if you:
- Stay organised and calm under pressure
- Anticipate problems and solve them early
- Focus on outcomes, not just completing tasks
- Enjoy building systems and making things run better
